- To manage and confirm your bookings and appointments
- To send essential service emails about your booking (confirmations, amendments, cancellations, payment updates and reminders) - these are necessary to provide the service
- To send SMS booking reminders, but only if you have opted in to SMS communications
- To send MOT expiry reminders and requests to review our service, but only if you have opted in to marketing communications
- To process payments and issue refunds through Mollie
- To maintain accurate records for accounting and legal compliance
- To improve our website, services and customer experience
- To send any other marketing communications, only if you have opted in
3. Legal Basis for Processing
We process your personal data under one or more of the following legal bases:
- Contractual necessity: to provide the services you have booked
- Legitimate interests: to manage bookings, maintain records, and send service reminders

3.1. Communication consents. We capture SMS and marketing consents as separate, optional opt-ins when you register for an account. You can view and change either consent at any time in the “My Account” area. Withdrawing consent stops our use of your data for that purpose immediately and does not affect the lawfulness of any processing carried out before withdrawal.
4. Sharing Your Information
We only share your information with trusted third parties necessary to deliver our services, including:
- Mollie Payments: to process payments and refunds. We pass Mollie the payment amount, a description that includes your vehicle registration, and a booking reference. We do not send Mollie your name, email address, phone number or postal address.
- Brevo (formely Sendinblue): to send booking and reminder emails and SMS messages.
- DVSA (Driver and Vehicle Standards Agency): to check the MOT status of your vehicle. We send DVSA your vehicle registration number for this purpose.
- IT and hosting providers that support our website and systems
- Regulatory or legal authorities, if required by law
All third parties are required to keep your data secure and to use it only for the specific purpose we authorise. Where we use analytics or advertising services (for example Google Analytics or Meta), those scripts are only loaded if you have given the relevant cookie consent - see our Cookie Policy.
5. Data Retention
We retain your personal data only for as long as necessary for the purposes set out in this policy, including legal, accounting and reporting requirements. In particular:
- Booking and payment records may be retained for up to 6 years to comply with tax and accounting obligations.
- Account deletion removes your account, contact details and vehicles and anonymises your personal data. We may retain a minimal, anonymised record of past bookings and supporting notes only where required for legal, tax or accounting purposes.
- Data used for marketing is no longer used once you withdraw your consent.

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse, or alteration. These include encrypted communications (SSL), secure hosting, and role-based access controls for staff.

- Obtain a copy in a portable format* — download your data as a structured, machine-readable JSON file (“Download JSON”).
- Delete your account - use the “Delete my account” option. This deletes your vehicles and anonymises your personal data as described in our Data Retention section.
